To be responsible in providing assistance & support for the effective operation of the Medical, Clinical and Administrative areas.
3.2 To provide support to physicians with the following:
· Screening and sorting mails and documents
· Receiving telephone calls
· Arranging the schedules and appointments
· Transcribing dictations
· Preparing medical reports of the patients
· Composing medical correspondence
· Maintaining office files and records
3.3 To undertake any other secretarial tasks as required by the Medical and Administrative Department.
To act as a point of contact for all forms of communications with the Consultants, Physicians, General Practitioners, and all Medical and Clinical Staff in the following departments and services:
3.4.1 Laboratory Department
3.4.2 Respiratory Care Services
3.4.3 Dental Care Services
3.4.4 Radiology Department
3.4.5 Physiotherapy Services
3.4.6 Nutrition and Dietetics Department
Monitors and directs incoming and outgoing calls.
4.2 Open and prioritizes all telephone calls and incoming mails and action accordingly.
4.3 Typing and photocopying duties.
4.4 Disseminates incoming and outgoing correspondence.
4.5 Communicates schedules and coordinates appointments (assigned by the Chief of Medical Staff).
4.6 Files all documents for Medical, Clinical and other administrative correspondence.
4.7 Accommodates visitors and provide appropriate hospitality.
4.8 Maintains supplies of office stationeries.
4.9 Type’s correspondence, documents and other administrative matters as required by Medical and Clinical Departments.
4.10 Takes dictations and transcribes minutes of meetings as required.
4.11 Prepares Medical, Discharge and Death Summary Reports of patients.
4.12 Maintains confidentiality at all times.
4.13 Undertakes other Medical Administration related work as directed from time to time by the Chief of Medical Staff.
4.14 Works with high regard for professionalism and maintains high standard of personal accountability.
4.15 Performs other related duties and activities as assigned by the department director/head.
